COSTUME + PROPS
LOAN OUT POLICY

The TAPS costume and props collections are made available for loan out only to Stanford affiliated projects or individuals. Loan-out privileges are subject to change, and may be terminated at any time due to violation of the loan-out policy.

 

SECURITY

  • Costumes/Props must be stored in a secure area when not in use to ensure their safety. COSTUMES should be stored on costume racks in garment bags and kept indoors, in a locked space out of sight. 
  • Activities such as eating, drinking (anything other than water), going outdoors, etc are prohibited in costume. Please schedule your loan out such that you have appropriate storage available prior to picking up your items.

 

FEES

  • Main Stage, Developmental Stage, Grad Rep, and TAPS Capstones do not require a PTA.
  • For TAPS related projects not listed above, staff will work with instructors and students to determine what account (PTA or student) will be charged for costume cleaning and possible damages at time of rental. 
  • All other University related groups are required to provide a PTA as security against loss or damage.
  • If items are damaged or not returned, the PTA or student account will be charged a replacement value at the end of the quarter.

 

RETURNS

  • Returns must be made by appointment during the loan out regular hours for the quarter (see Scheduling Appointments above for details). 
  • To avoid penalty, all items must be returned by the date specified on the loan out agreement and completed in a single visit.

 

ALTERATIONS/MAINTENANCE

  • Costumes/Props* may not be modified, cut, painted, or altered permanently in any way.
    • some PROPS may be altered with advance approval from Production Staff.
  • All Costumes/Props* must be returned in the same condition they were loaned out in. 
    • some PROPS may be altered with advance approval from Production Staff.
  • There is no labor support available from the shop staff for alteration of loan outs. 

 

DAMAGED/LOST ITEMS

  • The individual signing the Loan-Out Contract agrees to reimburse TAPS at the full replacement value for lost or damaged items. “In kind” replacement of lost or damaged items will be negotiated at the discretion of the Production Manager.

 

OTHER

  • TAPS retains the right to refuse to loan out an item deemed too fragile, needed in a TAPS production, or for use outside, with significant blood or water, or at the department’s discretion.

 

ITEMS NOT AVAILABLE FOR LOAN OUT

  • Wigs, Military Paraphernalia, Hats, Frock and Tail Coats, Leather Garments, Vintage/Historic Items, Shoes, or any item deemed fragile or in poor condition.  

 

SCHEDULING APPOINTMENTS

  • All appointments must be scheduled with the corresponding Loan Out Coordinator.
  • TAPS cannot accommodate walk-ins or requests outside of the scheduled hours.
  • Hours change quarterly and are posted at the end of Week 1 of each quarter. 
  • Loan Outs are offered Weeks 2-9 of each Quarter. There are no loan-outs during the summer months.
  • Labor or transportation is not provided, please bring your own support. You may be turned away if there is inadequate support present.
  • Please come prepared to your appointment by bringing all required documents.
