WHO CAN BORROW FROM US

The Stanford University prop and furniture collection is made available for loan-out to Stanford TAPS students, Stanford affiliates at the discretion of the Production Manager/Technical Director and the TAPS production schedule. Loan out privileges are subject to change, and may be terminated at any time due to violation of the Prop Loan-Out Policy.

SCHEDULING APPOINTMENTS

  • All appointments must be scheduled with the Properties Loan Coordinator.
  • Hours change quarterly and are posted at the end of week 1 of each quarter.
  • There are no loan-outs during the summer months. Loan-outs are offered weeks 2-9.
  • Appointments are recommended but walk-ins are accepted during the coordinator’s designated hours.
  • Please schedule an appointment by sending an email to TAPSprops [at] stanford.edu
  • Labor or transportation is not provided, please bring your own support. You may be turned away if there is Inadequate support present.

LOAN-OUT CHARGES

  • TAPS season projects (including Capstones & 2nd year Graduate projects) do not require a PTA or Student SUNet for loan out
  • All other University related groups a required to provide a PTA or a Student SUNet as security against loss or damage
  • If props are returned damaged or not returned the PTA or student account will be charged a replacement value at the end of the quarter.

ALTERATIONS + MAINTENANCE

  • Props may not be altered in any way without specific advance approval.
  • All props must be returned in good condition.

RETURNS

  • All items must be returned by the date specified on the Contract.
  • Borrowers must bring props in person to assist returning them to the appropriate places.
  • An appointment must be arranged prior to returning props (see Scheduling Appointments above).
  • Failure to return or put away props will result in forfeiting the security deposit.

DAMAGED + LOST ITEMS

  • The responsible party for the Loan-Out Contract agrees to reimburse TAPS at the full replacement value for lost or damaged items.
  • “In kind” replacement of lost or damaged props will be negotiated at the discretion of TAPS Technical Director/Production Manager.
  • Failure to return or put away props will result in forfeiting the security deposit.

OTHER

  • All loaned out props are to be secured in a locked indoor space when not in use to ensure their safety.
  • Not everything in TAPS prop storage area is available for use. Availability will depend on durability of the item, TAPS production needs and proposed use of item.

  • Appointments can be made with Costume Loan-Out Coordinator.
  • TAPS cannot accommodate walk–ins or requests outside of the scheduled hours.
  • Hours change quarterly and are posted at the end of week 1 of each quarter.
  • There are no loan-outs during the summer months; loan-outs are offered Weeks 2-9.
  • Please come prepared to your appointment by bringing all required documents.

FEES

  • Stanford PTA or Student SUNET must be provided as security for all loans.
  • Main Stage, Developmental Stage, Capstones, and Second-year Graduate projects do not require a PTA or SUNET. Class showings will be charged for dry cleaning.
  • Dry cleaning fees and charges for damages or lost items will be provided to the client at the time of return. These fees will be charged to the PTA or Student Account at the end of the quarter.

RETURNS

  • Returns must be made by appointment during the costume stock regular hours for the quarter (see Scheduling Appointments above for details).
  • To avoid penalty, all items must be returned by the date specified on the loan contract and completed in a single visit.

ALTERATIONS + MAINTENANCE

  • Costumes may not be cut or altered permanently in any way.
  • All costumes must be returned in the same condition they were loaned in.
  • There is no labor support available from the costume shop staff for alteration of loan outs.

DAMAGED + LOST ITEMS

  • The individual signing the Loan Out Contract agrees to reimburse the Costume Shop at the full replacement value for lost or damaged items. “In kind” replacement of lost or damaged costumes will be negotiated at the discretion of the Costume Shop.
  • Activities such as eating, drinking (anything other than water), going outdoors, etc are prohibited in costume.
  • The Costume Shop retains the right to refuse to loan out an item deemed too fragile, needed in a TAPS production, or for use outside, with significant blood or water, or at the Costume Shop’s discretion.

SECURITY

  • Costumes must be stored in a secure area when not in to ensure their safety. Items should be stored on costume racks in garment bags and kept indoors, in a locked space out of sight.
  • Please schedule your loan such that you have appropriate storage available prior to picking up your items.
  • TAPS cannot provide assistance in transporting costumes. Those without sufficient transportation for their costumes may be unable to borrow costumes.

NOT AVAILABLE FOR LOAN-OUT

Wigs, Military Paraphernalia, Hats, Frock and Tail Coats, Leather Garments, Vintage/Historic Items, Shoes, or any item deemed fragile or in poor condition.
